Ongoing training activities:

COAR (Confederation of Open Access Repositories) Training materials planning: 

  • Maximizing the visibility and discoverability of content in repositories: Search engine optimization, Repository registries, Repository registries
  • Software implementation and upgrading: Out-of-the-box implementation of DSpace; Customizing DSpace; Upgrading to the most recent version
  • Repository Interoperability: Best practices for metadata - Dublin Core; An introduction to vocabularies, COAR vocabularies, Instructions on how to implement in your repository; DOIs - what are they and why are they important; How to implement
  • Usage statistics
  • Repository networks and aggregators: Preparing your repository for harvesting - see discoverability; Harvester technologies.

Questions: 

  • Which training materials do we need?
  • How do we make them available, e.g. recorded tutorials?

Actions: Set up the DSpace training group (about five people, version agnostic). Interested: Iryna (chair), Kimberly, Pauline, Mariya. Marianne will provide feedback and comments. Iryna will draft the announcement, etc. 

Suggestions: a user handbook, help guides for basic management, demos, walk-throughs for repository managers by repository managers 

Channels: wiki, YouTube, github. 

Issues: The current demo page shows the latest version of the software. Perhaps we need it for the seven supported versions? Suggestion: argue for the current and the last. 

Draft a survey about training materials available already (Iryna). Check the minutes of DCAT Meeting February 2018

Topics: repository management; check Stuart's original list and materials (Old DSpace course), keep the structure, update the materials

Have the basic and advanced sets

Check Bram's Search Engine Recommendations. 

Licenses: aim for CC-BY, discuss other options if some content creators are not comfortable with this (e. g. prefer CC BY-NC). 

Types of the materials: the wiki for the written documentation + enhancements - videos, slides. 

Next month topic: Terry about accessibility needs and requirements to provide guidance to DSpace 7 team. Terry and Kimberly have some examples to share

  1. We do have a DSpace YouTube account that can be used for Repository Manager Videos. https://www.youtube.com/user/dspacevideos (Tim can help upload videos and a playlist and/or a sub-channel can be created).

    They are mainly focused on DSpace-CRIS and DSpace-GLAM, but probably there is something useful also for DSpace users.

    Intellij 13 Setup for DSpace Development on Mac OS X

    DSpace 6 Debugging with IntelliJ IDEA 15

    • Format: youtube clip
    • Audience: developers/tech staff
    • Advantages: step by step, visual
    • Disadvantages: should be ideally refreshed once a year, to ensure it stays up to date with recent IDEA versions and DSpace practices

    Atmire Analyzer for SEO

    • Format: self-service web application to learn more about SEO for your DSpace repository
    • Audience: repository managers who already use DSpace
    • Advantages: immediate learning/results 
    • Disadvantages: No extensive A to Z explanation, information is provided in smaller tidbits/advice

    DSpace Advanced Policy Manager

    • Format: youtube clip
    • Audience: Repository managers who already use DSpace
    • Advantages: point and click of a very specific feature, immediate learning
    • Disadvantages: 

    For this one, I think it's a great example of making sure we make our features more intuitive to start from. If a user really needs a video like this to properly understand the feature, we haven't built the feature or the user interface clear enough. So even though the video serves a purpose right now, I really hope there's no need for videos like this for DSpace 7

    Introduction to DSpace Webinar (2013)

    • Format: recording of a webinar, ~20 min of prepared content + Q&A
    • Audience: Aspiring repository managers / People with little to no prerequisite knowledge
    • Advantages: overview, high level
    • Disadvantages: not clearly described in metadata what's all covered in there. No one will land on this video looking for something specific, even though it's addressed

    Metadata Acronym Sheet

    • Format: PDF
    • Audience: Anyone new to the field and confused by acronyms
    • Advantages: relevant even outside of the dspace community
    • Disadvantages: no shared place to keep it, not up to date

    For this particular thing we might be better off with a "DSpace Glossary" as part of the wiki

    Overall observation

    I see great potential in clearly defining a target audience/need, and then thinking how something can be made that has the best chance of staying relevant for a LONG time.
